Payments, Refund & Cancellation Policy
Payments, Refund & Cancellation Policy
Last Updated: February 24, 2026
At INSIDER 360, we provide professional software development, web design & development, and IT consultancy services. This policy governs all financial transactions and service engagements for our domestic (India) and international (Global) clients, ensuring transparency and accountability for every project / milestone / service delivered.
1. Payment Methods & Currency
For International Clients (Exports):
- Currency: Payments are accepted in US Dollars (USD), unless otherwise agreed.
- Methods: We accept payments via International Wire Transfer (SWIFT) and Local ACH/Wire Transfers through authorized PA-CB platforms (Wise Business / Skydo).
- Compliance: All international payments are processed as per RBI FEMA guidelines (2026). All payments must be received in full, net of any intermediary bank fees.
- GST for International Clients: International Services are treated as “Export of Services” under our valid Letter of Undertaking (LUT) as per the CGST Act, 2017. Accordingly, a 0% IGST is applied to international invoices.
- Invoices are payable in the full amount specified; any intermediary bank charges or sender-side transaction fees must be borne by the client.
For Indian Clients (Domestic):
- Currency: All payments are accepted in Indian Rupees (INR).
- Methods: We accept payments via UPI (Unified Payments Interface), NEFT, IMPS, and RTGS/NetBanking directly to our ICICI Bank Current Account.
- GST for Indian Clients: A mandatory 18% GST will be added to the base project fee for all domestic services.
2. Billing, Banking & Tax Compliance
Statutory Banking Details:
- Banking: We maintain a dedicated Business Current Account with ICICI Bank, Bangalore. Domestic payments are accepted via UPI/NEFT/Net Banking directly to our ICICI Bank Current Account. International payments are processed through our Wise Business/ICICI accounts. Full banking coordinates are provided only within our official invoices.
International Export Compliance:
- Export of Services: All international invoices issued by INSIDER 360 are treated as “Export of Services” under the Indian Goods and Services Tax (GST) Act. We operate under a Letter of Undertaking (LUT) as per the CGST Act, 2017; therefore, 0% IGST is applied to international invoices.
- FEMA Compliance: We adhere to the Foreign Exchange Management Act (FEMA) and RBI regulations (2026). All funds are realized with a valid e-FIRA (Electronic Foreign Inward Remittance Advice).
Project & Milestone Structure:
- Project Commencement: For specific high-value engagements, a non-refundable mobilization fee may be required to initiate resource allocation. Remaining project costs are settled upon delivery of milestones or final handover, as specified in the individual Service Agreement.
- Milestones: Invoices are raised upon completion of predefined project stages and are due within 30 calendar days (“Net-30”).
- Domestic Tax Reporting: For Indian Clients, clients must provide their valid PAN / GSTIN (if applicable) for accurate tax credit reporting.
3. Export Compliance & Regulatory Framework
Regulatory Reporting & FEMA Compliance:
INSIDER 360 operates as a professional IT Consultancy firm. In accordance with the RBI Master Direction on Reporting under the Foreign Exchange Management Act (FEMA), all our international inward remittances are processed under Purpose Code P0802 (Software consultancy and implementation services other than those covered by SOFTEX).
Payment Aggregator – Cross Border (PA-CB), SOFTEX & 2026 Unified Framework:
- Authorized Payment Channels: We utilize RBI-authorized Payment Aggregator – Cross Border (PA-CB) entities to facilitate secure and compliant inbound collections. Our primary authorized service providers include Skydo and Wise Business.
- 2026 Unified Reporting (EDF): We are fully prepared for the RBI Notification No. FEMA 23(R)/2026-RB, transitioning to the Unified Export Declaration Form (EDF) framework effective October 1, 2026.
- SOFTEX Exemption: As our services are classified as ‘Consultancy and IT Management’ (SAC 998313, 998311, 998319) and NOT ‘Software Product Export,’ we operate under the legal exemption from mandatory SOFTEX filing with STPI for these specific categories.
Role of Authorized Dealer (AD Bank) & EDPMS:
We maintain a dedicated relationship with ICICI Bank (Authorized Dealer Category-I) for the final realization of all foreign exchange proceeds.
- Statutory Timelines: We ensure that all export declarations are filed with the Specified Authority (Authorised Dealer Bank) within the statutory 30-day window from the end of the month in which the invoice is raised.
- Closure of Entries: This disciplined reporting ensures the timely issuance of e-FIRA (Electronic Foreign Inward Remittance Advice) and the legal closure of export entries in the RBI’s EDPMS portal, ensuring no “open bills” remain in the regulatory system, maintaining our status as a compliant exporter.
4. Refund & Cancellation Policy
- No Refunds on Delivery: Given the nature of custom software development and consultancy, all services are considered “Work-for-Hire”.
- Milestone Finality: Once a project milestone (e.g., UI/UX Design Approval, Beta Release, Final Handover) is reviewed, approved, and delivered, the corresponding payment is strictly non-refundable.
- Mobilization Fee: Initial deposits required (if any) for project kickoff are non-refundable as they cover resource allocation and architecture setup.
- Discretionary Refunds: If INSIDER 360 is unable to complete a project due to internal reasons, a pro-rata refund for the unexecuted portion of the milestone will be initiated within 10 business days.
- Exclusions: No refunds are provided for delays caused by third-party integrations (APIs), client-side delays, or changes in project scope after development has started.
- Notice of Cancellation: Either party may terminate the engagement by providing 15 days’ written notice. The client remains liable for all work completed up to the final date of the notice period.
- Final Settlement: Upon cancellation, the client is liable to pay for all work completed, hours logged, and milestones reached up to the final date of the notice period.
- Data Handover: Upon full settlement of all outstanding dues, INSIDER 360 will provide all necessary source code and documentation to the client.
- Project Suspension: INSIDER 360 reserves the right to suspend services if payments are delayed by more than 15 days beyond the due date.
